Job Responsibilities
A. Purpose
The Accounts and Admin Officer will support the financial management, administrative operations, and human resource administration of Wikimedia Bangladesh. The role ensures accurate financial record-keeping, effective administrative coordination, and proper maintenance of personnel records in compliance with organizational policies and donor requirements. This position plays a critical role in strengthening transparency, accountability, and operational efficiency as the organization expands its programs and staffing structure
B. Major Responsibilities
Financial Management and Accounting
Maintain accurate and up-to-date financial records, including vouchers, invoices, receipts, and supporting documentation.
Process payments, reimbursements, and advances in accordance with organizational policies and internal controls.
Assist in preparing monthly, quarterly, and annual financial reports.
Monitor budget utilization and support expense tracking and variance monitoring.
Maintain cash and bank records, including preparing bank reconciliation statements.
Ensure proper documentation and filing of all financial transactions for audit and donor compliance.
Assist in preparing financial reports for donors, regulatory authorities, and organizational leadership.
Support internal and external audit processes by organizing financial documentation and responding to audit requirements.
Administrative and Operational Support
Provide administrative support for organizational activities, including procurement, logistics, and event coordination.
Maintain inventory records of organizational assets, equipment, and supplies.
Support procurement processes, including collecting quotations, preparing purchase documentation, and maintaining vendor records.
Maintain organized filing systems for administrative, financial, and operational documents.
Support office management functions, including maintaining administrative supplies and records.
Human Resource Administration
Maintain and update personnel records, including contracts, personal files, and relevant HR documentation.
Track staff attendance, leave records, and leave balances in accordance with organizational policies.
Support onboarding and offboarding processes, including preparing documentation and maintaining employee records.
Assist in maintaining HR policies, staff records, and organizational compliance with applicable labor and administrative requirements.
Support the preparation of HR-related documentation required for audits, donor reporting, and compliance.
Compliance and Organizational Support
Support compliance with local regulatory requirements, including NGO Affairs Bureau (NGOAB) and other relevant authorities.
Assist in maintaining proper documentation related to grants, agreements, and organizational governance.
Support preparation of administrative and financial information for grant proposals and reports.
Ensure adherence to organizational policies, financial procedures, and internal controls.
Coordination and General Support
Work closely with program and communications teams to ensure timely financial, administrative, and HR support.
Assist in improving financial, administrative, and HR systems and processes.
Provide administrative support to organizational leadership as required.
Perform other relevant duties as assigned to support organizational operations.
B. Required Qualifications, Experience, Skills:
Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
Minimum of 3 years of professional NGO experience in accounting, office administration, or HR management.
Proficiency in MS Office (Word, Excel) and financial management software.
Strong organizational skills with attention to detail and ability to maintain accurate records.
Understanding of compliance, financial reporting, and office operations.

Salary: 45,000 - 50,000 BDT
