Job Responsibilities

A.    Background

There is currently a significant capacity gap within the Data Team, which is directly impacting the timely delivery of data reports and overall efficiency of operations. The challenges are multifaceted and stem from limitations in essential support functions, including Inadequate resources for accurate and timely input of large volumes of data, leading to delays and potential errors. Insufficient support for systematic verification, coding, and numbering of documents, which slows down report preparation and compromises consistency. Limited capacity to reproduce documents quickly and in sufficient quantities, affecting distribution timelines. Gaps in digitizing and properly archiving documents hinder accessibility and retrieval of critical information. Routine but vital activities such as collation, filing, and distribution is not being executed efficiently, creating bottlenecks across the reporting workflow.

 

B.    Major Responsibilities

Under the guidance of TL-IVD, the Support Assistant cum Data Entry Operator will work with IVD Data Team under the direct supervision of the Data Manager and the terms of reference are– 

1. Support to scan surveillance CIFs (AFP, Measles, AES, NT, CRS and Diphtheria) by Division/District/CC for field level recording

2. Support to filing, retrieving and upload documents (CIF, Lab Reports) to SharePoint and for the field.

3. Maintain electronic and physical data records in an organized manner and support to send and

receive CIFs from LABs.

4. Maintain CIF/Lab report files, registers, correspondence, and records for accountability

5. Photocopying, duplication, collation, and distribution; Assist in timely submission of CIFs and

data to Division/District/CC of UN Agencies network.

6. Ad-hoc support to enter VPDs surveillance and SIA data

7. Assist in arranging logistics for meetings (stationary, snacks, lunch) during organizing meeting.

8. Entrance visitors in WCO office, set up venues and distribute materials

9. Any other duty assigned by supervisor.

 

C.    Required Qualifications:

• Minimum educational qualification: Higher Secondary / Bachelor’s degree (preferred)

• Prior experience in data entry or office support 

• Proficiency in MS Word, Excel, and basic computer applications

• Good typing skills with attention to accuracy and detail
